If you’re a hiring manager, you may have been quadrupled booked and aren’t able to be in multiple meetings at once. When you have a scheduled appointment but are met with these unfortunate events there’s no other alternative than to request to reschedule.

Here are some tips on to send a professional and polite in rescheduling email.

  • Notify the other party as soon as possible – It would be best to email or call the person immediately once you know you’re unable to go to the interview. The sooner the better. A few days advanced notice is the best option. Ideally, you don’t want the interviewee to be driving into an office at the time you change the interview time.
  • Write a clear subject line in your email – Your email subject line should be short and direct, and convey the importance of your email. No need to dance around the subject. Tell them you need to reschedule along with a simple one-sentence explanation why.
  • Address the person appropriately – Address the person you’re emailing by their full name. Do not call them by their first name only so that you can present yourself as respectful.
