Did you know that there is such a thing as sick-day guilt? It’s when your body screams rest but you can’t make yourself call in sick for the day. This feeling is triggered for different reasons such as not wanting their employer to think they can’t cope with the job or feeling bad for asking a colleague to cover for them.

But taking a legitimate sick day is nothing to feel bad about. After all, employees aren’t robots and we need a day off to restore our energy every once and awhile. The next time you’re feeling sick and need a day or two off from work or school, I’ve written down more than a hundred sick day email samples you can send to a boss or professor to let them know you’re feeling under the weather.

What are some important details to include in a sick day email?

Even healthy, young employees feel under the weather from time to time. Because of this, there is a high chance that we will get sick and have to inform our superiors or HR in our workplace by email. This is especially true if you only needing 1 – 2 days off. If you plan to be out a week or longer, you’ll generally want to send a doctor’s note for approval.

Companies have different protocols regarding sick-day emails though generally, these are the important details that should be included in a request for sick day:

  • The subject email has to be short, straightforward, and concise. An example could be ‘Your name – Sick Today’ or ‘Calling In Sick Today’ or ‘Your name – Sick Day’.
  • In the first part of the email, provide information as to why you are sick and how long you have to go on sick leave. Already include the dates if the leave will be for a really long period of time. Also mention if you will be using your unused sick leaves or if it will be considered unpaid leave. Some companies allow the use of vacation leaves or personal leaves if an employee does not anymore have sick leave balances.
  • Attach a letter from a doctor attesting to your sickness and laboratory test findings if you plan to be out for a week or longer. You may ask what other documents are needed especially for long-term sick leaves.
  • Inform your superior of the name of the person who will take charge of your work while you are sick. If there are scheduled meetings or projects, your superior should know who will handle these scenarios. If you can still work from home, you may also advise your superiors that you can check emails and/or answer phone calls.
  • Set an out of office message with your email so that coworkers and clients understand you won’t be available to respond.

Remember, if you don’t feel good today, it’s important to take the time to recover. You’ll feel better and be more productive at work upon your return.
